Create Care Teams & Groups

Organize volunteers into teams with roles, permissions, and category-based routing.

“Develop a Prayer and Care team to relieve the pressure off of our pastoral staff”

— What churches tell us they need

How it works in CareNote

CareNote Groups let you organize your care ministry into teams—each with their own members, profiles, and care responsibilities.

Step-by-step guide

1

Create a Group

Go to Admin → Groups → Create. Give it a name like “Prayer Team” or “Deacon Care”

2

Add team members

Add Users to the group with roles: Owner, Manager, or Member

3

Add care receivers

Add Profiles to the group—these are the people this team cares for

4

Configure categories (optional)

Set which care request categories this group handles. Requests can auto-route to the right team.

5

Group appears on dashboards

Members see the group on their Dashboard with their assigned profiles and care requests

Group roles

Owner

Full control over the group—can add/remove members, change settings, delete the group

Manager

Can manage group members and settings, but can't delete the group

Member

Basic access—can see group profiles and care requests, log interactions, accept assignments

What you get

  • Organize volunteers into purpose-specific teams
  • Role-based permissions (Owner, Manager, Member)
  • Auto-route care requests to the right team
  • First-to-respond routing within groups
  • Group-level reports and analytics
