How Churches Use CareNote

A very large multi-campus church routing form submissions to twenty-five volunteers, with meal sign-ups and a Care Number

The church

A three-campus church of about 41,000 people, with Planning Center connected. Five months on CareNote.

What they set out to do

Open every route a need could arrive by, and answer them all with a small staff and a big volunteer bench.

How it works now

A member fills in a Planning Center form and an automation turns it straight into a care request. A pastor who noticed something in a conversation promotes it into a request with one click. Anyone who would rather call or text uses the church's Care Number, and the message lands in the same place. Prayer requests come in and get confirmed back to the person who asked.

From there the work goes out to a bench of twenty-five volunteers who accept, decline and report entirely from email. When a family needs meals, Care Table posts the dates and the congregation signs up, and every sign-up so far has been confirmed. Milestones mark the long arcs, and the cases that will be carried for months are flagged ongoing rather than closed and reopened every time something changes.

What it takes

Five paid seats, twenty-five volunteers who never sign in, a Care Number, and Care Table for the meal sign-ups.

Is this your church?

A church of forty thousand does not have one care problem, it has five. This is what it looks like to open every channel at once without adding staff.
