What they set out to do
Have a care ministry running inside a month, without designing a taxonomy first.
How it works now
One Planning Center form. One automation that turns every submission into a care request. One category that covers almost everything. Six volunteers who take the request and report back. That is the whole design, and there is nothing else to maintain.
A member fills in the form and a request appears, already owned. It goes out to the volunteers, one of them accepts from their email, does what is needed, and writes a short report into the same email. The report closes the request. In their first full month they ran forty-nine needs through that loop, and most were closed inside a couple of days.
